TERMS AND CONDITIONS OF PARTICIPATION
IN THE 25th INTERNATIONAL OIDP CONFERENCE 2026
KRAKOW, POLAND
- Participation in the 25th International OIDP Conference, which will take place on 21–23 September 2026 at the ICE Kraków Congress Centre (Poland), hereinafter referred to as the “Conference” or the “Event”, is possible exclusively in an onsite format.
- Participant registration is carried out solely through the dedicated registration form available on the official Event website (https://oidp2026.krakow.pl/).
- The Organizer stipulates that submitting the registration form does not guarantee participation in the Conference nor the receipt of an invitation. The decision regarding the qualification of Participants is made exclusively by the Organizer based on the order of applications received.
- The right to enter the Conference is granted only to individuals who have received a personalized invitation sent by email by the Organizer, issued on the basis of the aforementioned registration form.
- Participants are required to comply with the laws in force in Poland, the internal regulations of the ICE Kraków Congress Centre, including safety regulations, as well as these Terms and Conditions of Participation.
- Participants are responsible for covering their own travel and accommodation costs.
- Participation in the Conference is free of charge.
- In the event of withdrawal from participation, Participants are obliged to inform the Conference Organizer by sending an email to: OIDP2026@um.krakow.pl
- The Organizer reserves the right to verify the identity of Participants before allowing them to take part in the Conference, in particular by requesting an identity document. Refusal to confirm identity may result in denial of entry to the Conference premises.
- Participants may take part in the Conference as:
- „Chair” – a person actively participating in the Conference, including moderating at least one session, panel, workshop, or project presentation;
- „Speaker” – a person actively participating in the Conference, including presenting in at least one session, panel, workshop, or project presentation;
- „Participant” – a person attending the Conference in a nonpresenting capacity.
- Participants are required to respect the dignity and rights of all individuals, regardless of their origin, race, gender, age, beliefs, position, or any other personal characteristics. This applies to interactions during conference sessions as well as all other activities related to the Event. Any behaviour that may violate another person’s dignity is strictly prohibited.
- All forms of harassment, intimidation, or violence are strictly prohibited. Any actions that could be considered harassment, intimidation, discrimination, molestation, or manifestations of physical or psychological violence are forbidden. Any person who is a victim or witness of such behaviour is obliged to report it immediately to the Organizer.
- Participants commit to respecting diversity of viewpoints and engaging in open dialogue. Statements made by Participants should reflect respect for fundamental freedoms and human rights. Participants should avoid actions that could restrict others’ freedom of expression, and all debates should be conducted with fairness, understanding, and mutual respect. Limiting a participant’s speaking time may be done only by the Chair and solely in a non‑discriminatory manner.
- The Organizer is not responsible for Participants’ personal belongings, including items left in cloakrooms, nor for damages resulting from force majeure, technical failures, or other events beyond the Organizer’s control.
- Participants must follow the instructions of security personnel, ICE Kraków staff, and all safety‑related announcements, including evacuation procedures.
- It is prohibited to bring dangerous items onto the Conference premises, in particular weapons, explosives, flammable substances, or any other objects that may pose a threat to Participants’ safety.
- The consumption of alcohol and the use of psychoactive substances are prohibited on the Conference premises. Individuals under their influence may be denied entry or removed from the Event.
- In the event of a breach of any provision of these Terms and Conditions or any behaviour deemed by the Organizer to threaten safety, order, or the proper course of the Conference, the Organizer reserves the right to take immediate action, including removing the Participant from the Event and reporting the incident to the relevant authorities.
- Participants are encouraged to share knowledge, ideas, and good practices. Content published or presented remains the property of its authors; therefore, any further dissemination requires the author’s consent.
- During the Conference, group photographs and images depicting Participants as part of a larger scene may be taken. Pursuant to Article 81(2)(2) of the Polish Act of 4 February 1994 on Copyright and Related Rights (Journal of Laws 2025, item 24), the dissemination of an image of a person who constitutes only a detail of a larger whole, such as a gathering, landscape, or public event, does not require that person’s consent. Such materials may be used by the Organizer for documentation, informational, and promotional purposes related to the Conference.
- In matters not regulated by these Terms and Conditions, the provisions of generally applicable law in the Republic of Poland shall apply. The Organizer reserves the right to amend these Terms and Conditions, with such amendments becoming effective upon their publication on the Conference website.
